Yes, SharePoint and OneDrive are one of the best alternatives for replacing Dropbox or Citrix ShareFile for external client file-sharing. While OneDrive offers limited collaboration capabilities just restricted to file sharing from M365 users OneDrive account, SharePoint’s external sharing capabilities are far more extensive such as files, projects, tasks, signatures and content etc.
Ideal for creating a branded, secure client portal, vendor portal or gust user portal with seamless collaboration capabilities, SharePoint can provide better ease-of-use as compared to Dropbox.
M365 allows you to setup external users as guests in Entra ID (Azure AD) without any extra cost. Guest users can be configured with their Microsoft account or non-Microsoft account such as Gmail ID. Number of guest user’s concurrent basis depends on number of paid M365 licenses and this is depending on many factors such as use cases, features and Microsoft’s guest user management policies. You can setup MFA for external users as well.
External users (M365 guest users) can access SharePoint sites, files and participate in workflows with their Gmail account. Setting up guest users in M365 is a process that is managed by Entra ID administrators. If you setup a guest with their Gmail, then Microsoft has a highly secure authentication process built inside M365 that creates a shadow Microsoft account for every no-Microsoft user inside Entra. Guest do not have to worry about managing anything and neither are they supposed to share their Gmail passwords with anyone.
